Coronavirus Updates as of March 18, 2020
General Education Abroad operations
Hours: Education Abroad will remain open Monday-Friday from 8 am-5 pm; however, due to limited staff and social distancing guidelines, we ask that you try to resolve your questions by phone 979-845-0544, or emailing email@example.com.
Appointments: If you must come to the office, please make an appointment by calling 979-845-0544, or emailing firstname.lastname@example.org.
Passports: Passport services and photo operations are closed for the remainder of this week. Education Abroad is consulting with U.S. Department of State agencies to establish appropriate protocols and procedures for future passport operations. Passport services may resume on an appointment-only basis in the near future. Please watch this page for continued updates.
Orientations and Training: All Health & Safety Orientations, 101 Sessions, and Faculty/Trip Leader Briefings have been canceled and will resume using a remote delivery method beginning in April. Please watch this page for continued updates.
Protocols for returning students
Anyone returning from an international destination should adhere to the guidelines set forth by the World Health Organization, The Center for Disease Control and Prevention, and the Texas A&M University System. These guidelines are intended to keep you and others protected and prevent the spread of COVID-19.
All students should:
Notify Education Abroad of their return date and itinerary. This can be emailed to email@example.com.
Report your international travel through Texas A&M’s mandatory reporting portal. The registration is required for both personal and university business international travel before leaving or immediately upon return.
If needing to retrieve something from a residence hall, contact Maggie Guzman with the Department of Residence Life at firstname.lastname@example.org to make arrangements for someone (whom the student has not had direct contact with) to retrieve needed items.

Student returning March 18, 2020 and after
Students who returned prior to March 18, 2020
Students who returned to the U.S. from ANY international destination prior to March 18, 2020, and cleared customs at one of the following airports should consider themselves as having returned from an area designated as Level 3 for COVID-19 and must self-isolate for 14 days from the date of their arrival before returning to campus:
Boston (BOS), Miami (MIA), New York City (JFK), Chicago (ORD), San Francisco (SFO), Seattle (SEA), Los Angeles (LAX), Atlanta (ATL), Honolulu (HNL), Newark (EWR), Dallas (DFW), Detroit (DTW) or Washington, D.C. (IAD).
TAMU Sponsored Faculty-led and Field trip program cancelations
Spring (current) Programs: All Spring 2020 programs have been canceled or relocated. Any students, faculty, and staff away on any current program must return as soon as realistically possible.
Programs departing between now and June 30: All TAMU-sponsored programs departing between now and June 30, 2020, have been canceled. Participants in these programs should cancel flights immediately. Many airlines are waiving cancelation fees if you mention the cancelation is COVID-19 related. Administrative and program fees associated with your TAMU-sponsored program will be refunded (see below for additional information about refunds). A representative from the Education Abroad should be in contact with anyone effected by this cancelation.
Affiliate Provider, Exchange, and Independent Travel programs
Current Programs: Students who are currently on non-TAMU sponsored trips – such as Affiliate Provider, Exchange, or Independent Travel programs – that have not yet been canceled by the program provider or host institution are still highly encouraged to return home. If the affiliate provider or exchange program has been canceled, students must return home unless given express permission to stay. All affiliate provider and exchange students must contact their program coordinator abroad to determine if completing coursework remotely is a possibility. Then, update your Texas A&M academic advisor if continuing coursework online is not possible. Your department is best equipped to answer questions about the academic impact of returning from your abroad program.
Programs that depart between now and June 30, 2020: Students planning to depart on non-TAMU sponsored trips – such as Affiliate Provider, Exchange, or Independent Travel programs – are highly encouraged to cancel or postpone their travel. Due to the seriousness of the COVID-19 situation, impending border restrictions and closures, and the myriad of financial commitments made by students and families, we are confident that this is the best course of action.
If you choose to cancel your participation in the provider program or defer your experience to a future term, please do the following:
Inform your provider that you would like to cancel or defer your program and ask about options for reimbursement and/or future programs. Many providers have extended their deadlines and withdrawal policies given the COVID-19 outbreak. Please CC: your education abroad advisor using email@example.com.
Call and/or email your academic advisor to let him/her know your situation and to identify immediate academic needs due to no longer going abroad this summer.
Reach out to your airline carrier to cancel your flight. Please reference that it is COVID-19 related and you may be able to get a full or partial refund or a voucher for future travel.
Email your education abroad advisor at firstname.lastname@example.org to let us know if you are canceling or deferring your May/summer program. If you cancel your program, we will refund the $100 administrative fee. If you defer your program, let us know the new term you intend to go abroad and we’ll update your application in the portal accordingly.
If you still wish to pursue this opportunity, you must do the following:
Education Abroad and Texas A&M University are working diligently to assess and issue refunds for students affected by program cancelations caused by the COVID-19 pandemic promptly. Please be patient as we work through this process.
Program fees and administrative fees posted to student accounts by Education Abroad for canceled TAMU-sponsored programs departing between now and June 30, 2020, will have the charges reversed. Education Abroad is aware that some students have a payment due date of March 20, and are working to resolve this process swiftly.

Outside Providers: For non-TAMU sponsored programs that have been canceled – such as Affiliate Provider, Exchange, or Independent Travel programs – please contact your host institution, affiliate provider, or responsible TAMU department for questions related to refunds.
Late summer and fall programs
Summer: At this time, any late summer (July/August) programs departing on or after July 1, 2020, have not been impacted. Be mindful that this may change as Texas A&M continues to monitor the situation surrounding the COVID-19 pandemic. Education Abroad will notify students if the status of July and August programs change.
Fall: To date, fall 2020 and beyond Education Abroad programs are proceeding as usual. Given the fluidity of the COVID-19 situation, students are advised to hold off on purchasing flights until the trip is confirmed.
